A business thrives only when there is a sufficient customer base to justify its existence. 1. Listen

When a customer calls your company to inform you of a problem, listen attentively in order to satisfactorily provide what they seek.  More often than not, a customer will not only describe the problem, but also mention the kind of solution which they seek.

2. Be Emphatic

In addition to listening properly, you must also know how to respond accordingly to a customer. For irate customers, the words “I want to help” can more often than not create a bridge into which you and the customer can work out the proper solution.

3. Promise only what you can deliver

Never overpromise in the hopes of ridding yourself on an irate customer because it only makes the problem worse.  More importantly, making empty promises will reflect badly on the company.

4. Follow up

After you and the customer have reached an agreement regarding the issue at hand; call back the customer once the issue has been resolved or if there needs to be more time for the issue to be resolved. This ensures the customer that you are indeed working on their case and
that your company can be trusted to resolve customer issues.

5. Find Opportunities for Sale

After you have excellently handled and resolved the customer complaint, you can now scout for opportunities for additional sales to the newly satisfied customer.

6. Go the Extra Mile

Beyond solving the issue at hand; you would want to keep your customer extra satisfied in order to prime them to spread excellent word about your company.  You can do this by offering them future discounts or simply writing them a thank you note.

7. Be Proactive

Identify potential customer problems and fix them before they arise. Doing so will raise your reputation in the customer’s mind and will enable you to be their top choice in future transactions.
